Communications Coordinator

SoundExchange develops business solutions to benefit the entire music industry. The organization collects and distributes digital performance royalties on behalf of nearly 175,000 recording artists and master rights owners accounts and administers direct agreements on behalf of rights owners and licensees. To date, SoundExchange has paid out more than $5 billion in royalties. SXWorks, a SoundExchange subsidiary, acquired the Canadian Musical Reproduction Rights Agency Ltd. (CMRRA) which represents music publishers and administers the majority of songs recorded, sold and broadcast in Canada.

Responsibilities:

  • Manage and track SX conference and event participation (company speakers, sponsorships and employees attending)
  • Provide support as appropriate to Industry Relations and Communications department including travel coordination, conference planning and T&E reports
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
  • Draft panel descriptions and company descriptions for feedback and editing purposes
  • Maintain marketing calendar of all events and update events on company website
  • Oversee management and inventory of all marketing materials, as needed
  • Development and production of promotional items (order, track and prepare)
  • Process event and conference registrations, ship supplies to each event, ensuring appropriate quantities and confirming arrival onsite
  • Maintain and update event and conference information in Salesforce
  • Assist in organizing and working special events as needed
  • Coordinate and work on team projects as assigned
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Collaborate with internal teams on talent, as needed
  • Negotiate and secure event space, as needed
  • Knowledgeable and comfortable using event planning tools (invitation platforms, project management software, MS Office, etc.)
  • Manage invitee list
  • Keep inventory of all event materials
  • Track and manage budget

Required Skills and Education:

  • Bachelor’s degree in Marketing, Communications or a related field
  • A minimum 1-3 years experience in marketing, events or communications in a corporate environment preferred
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Self-starter who can prioritize competing demands and demonstrate responsibility, while meeting established critical deadlines.
  • Writing skills a plus
  • Candidates will also have an interest in and passion for the music industry and event production/planning
  • Strong organizational, verbal and written communication skills
  • Highly organized with attention to detail and ability to prioritize multiple responsibilities
  • Excellent interpersonal skills
  • Ability to work both independently and with the team in a dynamic and growing organization
  • Must have experience with Salesforce
  • Willingness to learn new systems and software
